Making Tax Digital: is Xero right for your business?
A Xero Gold Partner’s honest guide to Xero for Making Tax Digital: what it does well, the four UK plans, where it may not suit you, and who it’s best for.
The short answer
Yes, for most small and growing businesses. Xero is HMRC‑recognised for both MTD for VAT and MTD for Income Tax on every plan, it reconciles your bank automatically, and you and your accountant see the same live figures. The main thing to get right is the plan: the entry plan limits invoices and bills, and features like multi‑currency and projects are only on the higher plans.
We should say up front: PFC is a Xero Gold Partner, and we also support QuickBooks and FreeAgent. This guide sets out where Xero fits and where it doesn’t.
Is Xero compatible with Making Tax Digital?
Yes. Xero files VAT returns to HMRC under MTD for VAT on all of its UK plans, and Xero says every plan is ready for MTD for Income Tax, so sole traders and landlords can keep their records, send quarterly updates and submit their tax return from it. You can check any product on HMRC’s software finder.
What Xero does well
- Bank feeds and reconciliation. Transactions come in from your bank every day, and Xero suggests matches that get better as you use it. Automatic reconciliation is included from the Grow plan up.
- Invoicing and getting paid. Send quotes and invoices, see when they’re viewed, and add online payment options.
- A dashboard you’ll actually use. Cash in the bank, money owed to you, bills to pay and a cash flow forecast on one screen.
- Working with your accountant. We log in to the same file, so there’s no sending spreadsheets back and forth and questions get answered against live figures.
- Apps. Xero connects to a large marketplace of apps for things like stock, job costing, receipts and payments.
Xero’s UK plans at a glance
| Plan | Good for | Worth knowing |
|---|---|---|
| Ignite | Very small or new businesses | Quotes, up to 20 invoices and 10 bills; automatic reconciliation is an add‑on |
| Grow | Most sole traders and small companies | Unlimited invoices and bills, automatic reconciliation, expenses for 1 user, payroll for 1 person |
| Comprehensive | Growing businesses | Adds multi‑currency, budgets and payroll for 5 people |
| Ultimate | Larger or project‑based teams | Adds projects, deeper analytics and payroll for 10 people |
Where Xero may not suit you
- Plan limits. If you send more than a handful of invoices a month, the entry plan will feel tight, so budget for Grow or above.
- Add‑ons add up. Payroll for more people, extra payments and some features cost more on top of the plan.
- Support is mainly online. Xero’s help is through Xero Central and online support, so many businesses lean on their accountant for day‑to‑day questions.
- Complex stock or manufacturing. Xero handles simple stock, but businesses with complex inventory usually need an extra app.
Is Xero right for your business?
Xero is usually a good fit if you’re a sole trader, landlord or limited company that wants clear, live figures, sends regular invoices, and wants an accountant working in the same system. If you only send a few invoices a year, a simpler or cheaper product may be enough. If you have complex stock or very high transaction volumes, it’s worth planning the apps you’ll need alongside it.
